Who we are

Fleezo is a product of Aardiv Solutions Pty Ltd (ABN 56 646 319 726), based in Sydney, New South Wales. In this policy, "we" and "us" means Aardiv Solutions. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Whose information this covers

What we collect

When you enquire or sign up

Your name, business name, ABN, phone number, email address, role, fleet size, the states your vehicles are registered in, and anything you choose to tell us.

Inside the app

Location is captured twice a shift, not all day. Fleezo asks the driver's phone for its location when a shift starts and when it finishes. It doesn't track vehicles or drivers between those two points, and it doesn't use any hardware in the truck.

Automatically

Like any website, our server records IP addresses and basic request details in its logs. The app keeps a sign-in token in your browser so you stay signed in. fleezo.com.au currently uses no advertising or analytics cookies. If we add them, we'll update this policy first.

How we collect it

Directly from you, from the customer business that adds you as a driver or user, and from the driver's phone when a shift starts or ends, with the phone's location permission.

Why we use it

We don't sell personal information, and we don't use customer fleet or driver data to market to anyone.

Customers' responsibilities for their drivers

Each customer business decides what driver information it enters into Fleezo, and is responsible for having the right to do so. That includes telling its drivers what's collected, and giving any notice that workplace surveillance laws require before shift locations are recorded. In New South Wales that's the Workplace Surveillance Act 2005. We confirm this with every customer before their account goes live.

Who we share it with

Customer data stays within that customer's account. Each business has its own separate database, and no customer can see another's vehicles, drivers or costs.

Where it's stored

Fleezo and this website are hosted on servers located in Sydney, Australia, and backups are kept in Australia too. Your shift, vehicle and compliance records stay onshore.

One exception, stated plainly: email we exchange with you — enquiries, onboarding and alert messages — is still handled by a mail provider in the United Kingdom, and will be until that service moves. We choose providers who protect information to a standard consistent with the Australian Privacy Principles.

How we protect it

All connections use HTTPS. Each customer has a separate database, and access needs a phone number and PIN. We ask the person who manages each account to change the PIN we issue as soon as they first sign in. No system is perfectly secure. If a data breach is likely to cause serious harm, we'll tell the affected customers and people promptly, and notify the Office of the Australian Information Commissioner where the law requires.

How long we keep it

We keep customer data while the account is active. When a customer leaves, we give them a full export on request, then delete their data within 90 days, except records we must keep by law. We keep enquiries that don't become customers for up to two years.

Access, correction and complaints

You can ask to see or correct the personal information we hold about you. Email us and we'll respond within 30 days. If you're a driver, your employer controls most of your record, so we may refer your request to them.

If you have a complaint, please tell us first and we'll try to fix it. If you're not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992.

Changes to this policy

We'll post any changes here and update the version and date at the top. If a change affects how we use customer data, we'll email customers before it takes effect.
